1. Entering Listings
1.1. How to enter a Non-Member Listing (Sold Non-MLS)
1. Log in to FlexMLS as an Administrator-level or Broker-level account
2. Click the “Add/Change” tab
3. Click Add Listing
4. You may auto-populate the listing if you wish
5. Fill out the remainder of the listing with accurate information, according to MLS policies. Treat it just like any other entry in this fashion. Only the required fields are required for this entry.
6. When you come across the “Was Sold Non-MLS?” field, you’ll want to make sure it is marked as “Yes”.
7. For the List Price field, use the same price as the sold price.
8. For date fields you will want to use the following:
List Date: (Use the same date as the Sold Date)
Showing Start Date: (Use today's date)
Expiration Date: (Use any date in the future, cannot be today's date or a date in the past)
NOTE: If your Sold Date is more than 28 days ago, please use today’s date for all the dates listed above.
Then email mlscorrections@columbusrealtors.com with the address and the correct sold date and MLS staff will correct the date.
9. When you are ready to submit the listing use the “Add Listing” button. When you just want to save the listing as incomplete for future editing use the “Save Incomplete” button.
10. After you click "Add Listing" you will then be prompted to enter the Sold information. For date fields you will want to use the following:
Under Contract Date: (Use the same date as the Sold Date)
Sold Date: (Use the Sold Date here)
NOTE: If your Sold Date is more than 28 days ago, please use today’s date for all the dates listed above.
Then email mlscorrections@columbusrealtors.com with the address and the correct sold date and MLS staff will correct the date.
11. Once all the required sold fields have been filled in, click the "Next >>" button
12. You'll get a preview screen, then click the "Next >>" button one more time, and you will be finished
13. You may get a white screen that comes up. This is a bug that is being addressed by our vendor.

2. Listing Corrections
2.1. Modifying Square footage
MLS Policy requires the Sq Ft Documented field to be accurate for all listings. The listing agent must provide proof of taxable square footage from a professional source to the MLS within 15 days from the entry date. You must provide this proof by email in PDF format or by FAX. You cannot update the listing's Sq Ft Documented yourself. The field is locked after the initial entry.
You will continue to receive this notification for 15 days or until the field is updated by MLS staff. After 15 days, the listing agent will receive a Data Maintenance Fee for late entry of Sq Ft Documented. This policy applies to all Residential and Res Rental listings.
PROOF OF SQ. FT. SOURCE DOCUMENTS:
MLS staff must update the Sq. Ft. Documented field for you based upon the source document you provide. Acceptable source documents include county auditor's records, appraisals, builder statements, and floor plans provided by a builder, architect, or licensed appraiser. Please submit these documents to MLS so your listing can be updated immediately. You may submit documentation as a PDF by email or FAX.
2.2. Status: Contingent to Active
To change a listing from Contingent to Active you will need to Modify/Remove the Contingency.
Go to the Change Listing page for the listing and under status select “Modify/Remove Contingency”
On the next window select the dropdown with the current Contingent Status and select “No Contingency”
Scroll down and select Save, the MLS may ask you to check the expiration date. If it needs to be extended you can do so, if not you can select save and the listing will be active.
2.3. Status: Pending to Active
If you have placed a listing in the full Under Contract status (Pending) and wish it to be Active you can make that correction.
To do so, you can do the following:
1. Log in to FlexMLS
2. Click the menu option in the upper left of your screen.
3. Click Change Listing
4. Type the MLS # for the listing in the box provided, and hit next.
5. Locate Status Section.
6. Click Back on Market (Active) - This will restore the listing to active status temporarily. Confirm the expiry date (or update if needed) and then hit Save.
7. Your listing should now be active please double-check to make sure it has been updated correctly.
